Overview
ABOUT THE ROLE:
We are looking for a highly organized and financially driven Restaurant Controller/Administrative Manager to join our founding leadership team. This role with serve as the administrative and financial counterpart to restaurant operations, ensuring strong controls, accurate reporting, and disciplined execution of all back-office processes. The ideal candidate combines restaurant administration, accounting, payroll, inventory control, and financial reporting experience with ability to operate in a fast-paced opening environment.
KEY RESPONSIBILITIES:
Financial Administration & Reporting:
Manage the restaurant's day-to-day administrative and financial operations.
Prepare and maintain weekly financial reports and monthly P&L packages
Support ownership and leadership with financial visibility, cost reporting, and variance analysis
Assist in budgeting, forecasting, and cash flow planning
Monitor key restaurant metrics including labor %, food cost %, beverage cost %, and prime cost.
Accounts Payable and Vendor Management:
Receive, review, and process vendor invoices
Maintain payment schedules and ensure timely payments to suppliers
Reconcile vendor statements and resolve discrepancies
Support purchasing controls and expense coding
Payroll Administration:
Process payroll based on approved pre-payroll prepared by operations leadership
Manage Payroll execution through the restaurant's payroll and POS-integrated systems
Audit hours, overtime, tips, and labor reports for accuracy
Coordinate with external payroll or accounting partners as needed
Inventory & Cost Control:
Support weekly and monthly inventory counts
Analyze theoretical vs actual usage
Identify variances and support food cost control initiatives
Partner with Operations leadership to improve inventory accuracy and minimize waste
Bookkeeping & External Accounting Coordination:
Maintain internal bookkeeping and accounting records
Perform bank reconciliations and expense allocations
Prepare documentation for external CPA/accounting firm for tax filings and financial statements
Coordinate with external accounting partners on compliance matters
COMPENSATION:
Salary range $55k-65K annually - Based on experience and qualifications
Skills and Experience
QUALIFICATIONS:
Bachelor's degree in Accounting, Finance, Business Administration, or related field preferred
3+ years of experience in restaurant administration, accounting, finance, or unit-level control
Experience in hospitality, restaurant, hotel, or multi-unit service operations strongly preferred
Familiarity with POS and payroll systems such as Toast, Aloha, or similar platforms preferred
Strong understanding of P&L reporting, payroll, inventory, and accounts payable
Advanced Excel/spreadsheet skills
High attention to detail and strong organizational skills
Ability to thrive in a startup/opening environment
