Overview

Key Responsibilities

  • Maintain and manage the document control system for quality control records and procedures.
  • Review, format, and process Standard Operating Procedures (SOPs), work instructions, forms, and quality records.
  • Ensure all documents are properly approved, version controlled, and archived according to company policies.
  • Distribute controlled documents to appropriate departments and ensure only current revisions are in use.
  • Maintain logs and tracking systems for document revisions, approvals, and distribution.
  • Assist with internal and external audits by retrieving and organizing quality documentation.
  • Monitor document retention schedules and ensure proper archiving or disposal of obsolete documents.
  • Work with QC, QA, and other departments to ensure documentation supports regulatory and quality compliance.
  • Support continuous improvement of document control processes.
  • Ensure compliance with GMP, ISO standards, and company quality policies (if applicable).

Skills and Experience

Skills

  • Excellent attention to detail and document accuracy.
  • Strong organizational and filing skills.
  • Ability to manage multiple document revisions and deadlines.
  • Proficiency with Microsoft Office, Adobe (Word, Excel, SharePoint) or similar
    systems.
  • Effective communication and cross-department collaboration skills
  • Ability to maintain confidentiality and data integrity.
  • Ability to create and maintain documents that are required for GMP.
    Physical Requirements (if applicable)
  • Ability to sit and work at a computer for extended periods.
  • Occasional lifting of files or document boxes.
Qualifications

  • High School with college preferred.
  • 2+ years of experience in document control, quality control, or quality assurance.
  • Experience working with document management systems (DMS) or electronic
  • quality management systems (eQMS).
  • Knowledge of GMP, ISO, or regulatory documentation standards is preferred.
  • Strong organizational and record-keeping skills.
