Overview
DEPARTMENT: Accounting
SUMMARY: Manages the entire invoice to cash process for projects, ensuring accuracy, compliance with contracts, and timely payment collection. This role is vital for maintaining cash flow and financial growth.
DUTIES AND RESPONSIBILITIES:
• Generates and distributes invoices to clients based on contract terms, which involve progress billings, time and materials, or flat fees.
• Reviews client contracts and agreements to ensure billing accuracy and compliance with specific terms, pricing, and regulations. Responsible for reconciling files.
• Collaborates with project managers, project estimators, and field teams to track all project costs, labor hours, materials used, and vendor invoices to ensure all billable work is captured.
• Monitors payment statuses, following up on outstanding or overdue payments, and assisting with collections to reduce unbilled revenue and improve cash flow.
• Investigates and resolves billing disputes, inquiries, and discrepancies with clients and internal teams in a professional manner.
• Prepares various billing reports and maintains detailed records for auditing purposes and management review.
• Inputs and updates customer and project information within accounting software. (SAGE).
Skills and Experience
QUALIFICATIONS:
• At minimum, an associate's degree in accounting or related field
• One to two years related experience or equivalent.
• Proficient in Microsoft Office applications
• Knowledge of SAGE 100 and basic accounting principles
• Strong organizational, problem-solving, and analytical skills
• Proven ability to handle multiple projects and meet deadlines
• Demonstrated ability to calculate figures and amounts such as discounts,
interest, retainage, and percentages
• Ability to understand and follow written and verbal instructions
• Ability to effectively communicate with people at all levels and from various backgrounds
