Position Overview
The Project/Sales Administrator plays a pivotal role in supporting the successful execution of projects and maintaining smooth operational flow. This full-time position is responsible for scheduling, entering sales and new client data, coordinating with internal teams, and ensuring projects remain on schedule. The ideal candidate brings strong industry knowledge, excellent organizational skills, and the ability to manage multiple priorities while maintaining high standards of quality and ensuring both client and team satisfaction.

Required / Desired Experience

  • Ability to maintain a high degree of confidentiality; demonstrated capacity to multitask, work efficiently in a fast-paced environment, and manage time effectively to meet deadlines and organizational requirements.

  • Proven experience in an administrative or executive support role.

  • Strong organizational skills with exceptional attention to detail.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software; experience with Salesforce and Kiwi systems is a plus.

  • Excellent written and verbal communication skills.

  • Strong interpersonal skills and a professional, client-focused demeanor.

  • Demonstrated willingness and ability to learn new skills.

  • Minimum of a high school diploma or equivalent, with 3+ years of administrative experience.

  • Project experience, whether supporting a project management team or contributing to sales-related project work, is highly desirable.

  • Sales experience, either in a support capacity or in a direct sales role, is highly desirable.

Key Responsibilities

  • Maintain and manage schedules across multiple projects.

  • Forecast resource and project demand to ensure appropriate scheduling and allocation.

  • Prepare pick tickets for warehouse staff to support timely job fulfillment.

  • Schedule, confirm, and update appointments as needed.

  • Communicate scheduling updates and changes to all relevant stakeholders.

  • Ensure company systems and scheduling tools (e.g., Salesforce, Kiwi) are consistently updated and accurate.
